Privacy Policy
Servants’ Hearth™ service and platform
Effective Date: 19 October 2026
This Privacy Policy describes how Firelight Logic LLC, a Pennsylvania limited liability company, doing business as Servants’ Hearth (“Servants’ Hearth,” “we,” “us,” or “our”), collects, uses, and shares information in connection with the platform and related services we provide (the “Service”).
This Policy applies to information we handle when you access or use the Service. It is incorporated into our Terms of Service. Capitalized terms used but not defined here have the meanings given in the Terms of Service.
The Service is not a public platform. Authorized access is provided only by invitation from, or an account request approved by, a Sponsoring Organization.
This Policy describes Servants’ Hearth’s practices. It does not govern a Sponsoring Organization’s own use of information that its authorized administrators can access under the configurations for its instance.
1. Information We Collect
We collect the following categories of information:
- Account information. When an account is created we collect the username (typically an email address), password (stored in hashed form), and any profile details the Sponsoring Organization or you provide.
- Account-request information. If you submit an account request we collect the information you supply in the request and the contact details of the Organization Administrator you identify, solely so the request can be routed for review.
- Content you submit. We store content you post, upload, or enter in the Service (including messages, form responses, calendar entries, and files) as necessary to provide the Service.
- Usage and technical information. We collect log data such as IP address, browser type, device identifiers, pages or modules accessed, and timestamps. We use this information for security, troubleshooting, and to operate the Service.
- Communications. If you contact us we keep the content of that communication and our response.
We do not knowingly collect information from persons under 18. The Service is intended for adults.
2. How We Use Information
We use the information we collect to:
- Provide, maintain, and secure the Service.
- Authenticate users and enforce the permissions and configurations set for the instance you access.
- Route account requests to the appropriate Organization Administrator for review.
- Detect, investigate, and prevent security incidents or misuse.
- Comply with law and respond to valid legal process.
- Communicate with you about the Service or your account when necessary.
We do not use information to build advertising profiles or to sell personal information.
3. How We Share Information
Visibility of content and activity inside the Service is controlled by the permissions and configurations established for the Sponsoring Organization’s instance. Servants’ Hearth will not itself disclose information we collect about you, or content, in a manner inconsistent with those configurations, except as required by law.
We may share information in the following limited circumstances:
- With the Sponsoring Organization’s authorized administrators, to the extent the configurations and roles for that instance permit.
- With service providers that host, secure, or support the Service under contracts that require them to protect the information and use it only for the services they provide to us. These providers are located in the United States.
- When required by law, such as in response to a subpoena, court order, or applicable statute that compels disclosure. Where legally permitted we will give notice to the Sponsoring Organization’s designated Organization Administrator.
- In connection with a corporate transaction (such as a merger or sale of assets), subject to confidentiality protections.
- With your direction or consent.
4. Data Location and Security
We store and process information in the United States.
We maintain administrative, technical, and physical safeguards designed to protect information against unauthorized access, alteration, or destruction. These measures include encryption in transit, access controls, support for multi-factor authentication, and session management. No method of transmission or storage is completely secure. You are responsible for maintaining the confidentiality of your credentials.
5. Cookies and Similar Technologies
We may use cookies or similar technologies that are necessary to operate the Service (for example, to maintain a signed-in session or to support security features). These technologies help the Service function and are not used for advertising. You can control cookies through your browser settings; disabling them may affect functionality of the Service.
The Service may contain links to third-party websites or services. This Policy does not apply to those third parties.
6. Retention
We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements.
When an account is closed, access ends. We delete or de-identify personal information associated with the account in accordance with this Policy, except for residual copies retained for security, legal, or backup purposes for a limited period.
7. Your Choices
You may update certain account information through the Service or by contacting your Organization Administrator. You may request closure of your account; the Sponsoring Organization or Servants’ Hearth may also close an account as described in the Terms of Service.
Because access is controlled by the Sponsoring Organization, requests concerning content visibility or permissions should be directed first to your Organization Administrator. You may also contact us at the address below.
8. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated Policy and revise the effective date. Continued use of the Service after the effective date of an update constitutes acceptance of the revised Policy. If you do not agree to the changes, you must stop using the Service.
